Working with big documents and spreadsheets in the Educator Agent

Give the agent a full textbook or markbook: what it can take, working out marks, building a lesson from one chapter, and getting files back.

Written by Kat Morgan

The Educator Agent can work through a whole textbook or a full year of marks. It opens your files in its own secure workspace and runs code on them: searching the pages, reading every row of a spreadsheet and doing the sums properly. Here is what it can take, and what to expect back.

What you can give it

  • Documents and spreadsheets up to 100MB each: PDF, Word (.docx), PowerPoint (.pptx), Excel (.xlsx), text and CSV files.

  • Images up to 10MB each. The bigger limit is for documents and spreadsheets only.

  • Up to 10 files in one message.

  • Older .doc, .xls and .ppt files need saving in the newer format first.

Click Attach (the + in the composer) or drag the files onto the chat, then say what you want. If a file is too big, the composer tells you, for example textbook.pdf must be less than 100MB in size. No Attach button? Pick a model that can read files in the model picker. Spreadsheets can be attached on the web, not in the mobile app.

For the basics of attaching files, see Uploading Files to the Educator Agent.

Ask questions about a document

  • "Which chapters cover electricity, and on which pages?"

  • "Pull the results table on page 40 into a spreadsheet."

  • "Compare these two past papers. Which topics come up in both?"

Work out marks and numbers

Give it a markbook and ask for totals, averages, weightings or a ranking: "Work out each learner's term mark from this spreadsheet. The year mark counts 40% and the exam 60%. Which five learners are most at risk?" It calculates from the raw marks in the sheet rather than trusting a total someone typed in.

The agent's answer to a weighting question on a markbook: a line for each step, then the five learners with the lowest term marks

Read what it says about the data, not just the answer. In this one it found two absences marked ABS and counted them as zero, and said so. If that is not how your school handles absences, tell it and it will redo the sums. Treat its figures like a colleague's: worth a spot check against your own records before anything goes on a report.

Build a lesson from part of a big file

A lesson can be built from up to 10MB of a file. A whole textbook is usually bigger than that, so name the part you want: "Build a lesson for my Grade 9 class from chapter 4." The agent finds the chapter, cuts those pages out and builds the lesson from just that section. When it is done you get a Lesson built card that opens the lesson, which waits in My Library as a draft for you to check.

The agent locating chapter 4 in a large textbook PDF, extracting it and showing a Lesson built card

Ask for a lesson from the whole of a file over 10MB and it will tell you it can't, and offer to work from a section instead. More on lesson building in Creating Lessons with the Educator Agent.

See what it did

Every piece of work shows as a line in the chat with a green tick. Click the arrow on a line to see the code the agent ran and what came back. A line marked failed means that attempt didn't work. The agent usually spots why and tries again, as it did in the markbook example above. See Knowing when the agent has finished.

Get files back

Ask for a Word document, a spreadsheet or a slide deck and the agent makes the file and gives you a download card. To get a PDF, ask for the written report first, then use Download as PDF on the document card. It can also cut pages out of a PDF you gave it. See Downloading and exporting documents from the Educator Agent.

If a step can't run

  • The analysis service was temporarily unavailable, so this step was skipped. Wait a few minutes and ask again.

Working with big files is for educators and organisation admins. Students can't upload files this large.
