When Mindjoy is installed at account level in Canvas, it becomes available in every course in that account. Teachers see it in courses that are not part of your rollout, and students see a tool nobody has told them about.
If you are running a pilot, or phasing Mindjoy in one department at a time, you can keep Mindjoy hidden everywhere except the courses that are actually using it. This guide shows how.
Before you start
Canvas administrator access
Mindjoy already connected to Canvas (see Connecting Canvas with LTI 1.3)
The name or course ID of every course that should have Mindjoy, including any course that already has Mindjoy content in it
Install once, then restrict. Do not install per course.
Your Mindjoy organization holds one LTI registration, made up of one issuer, one client ID and one deployment ID. Mindjoy matches every incoming launch against those three values.
Installing Mindjoy separately in each Canvas course creates a new deployment ID for each install, and only one of them can be registered in Mindjoy. Launches from the others will be rejected.
So keep the single account-level install you already have, and use Canvas's own availability settings to control which courses can see it.
How Canvas decides where an app appears
Canvas availability is inherited down the account hierarchy: root account, then sub-accounts, then courses. An app installed in an account is available in every course below it, unless you set something different at a lower level.
That gives you the pattern to follow: turn availability off at the account where Mindjoy is installed, then add an exception that turns it back on for each course that should have it.
Exceptions are inherited too. An exception on a sub-account applies to every course inside it, including courses created later.
Restrict Mindjoy to specific courses
1. Log in to Canvas as an administrator
2. Click Admin in the left sidebar, then select your account
3. Click Apps, then open the Manage tab
4. Find Mindjoy in the list and open it
5. Open Availability and Exceptions
6. Next to the account where Mindjoy is installed, click the edit (pencil) icon, set availability to Not available, and save. Mindjoy is now hidden in every course in that account.
7. Click Add exception
8. Search for a course that should have Mindjoy, by name or course ID, and select it
9. Set that exception to Available
10. Repeat for every participating course, then save
Add a sub-account as the exception instead of individual courses if every course inside it should have Mindjoy. New courses created in that sub-account will pick up access automatically.
Depending on your Canvas version, the availability states may be labelled Available and Not available, or On and Off. They do the same thing.
Finding a course ID
Open the course in Canvas and look at the address bar. In https://yourschool.instructure.com/courses/36774 the course ID is 36774.
Watch out for courses that already use Mindjoy
Setting an account to Not available applies to Mindjoy assignments and links that are already in those courses. They will stop launching.
List every course that already has Mindjoy content before you start, and give each one an exception set to Available.
Check it worked
1. Open a participating course as a teacher. Mindjoy should appear in the course navigation, and under Assignments > + Assignment > Submission Type > External Tool > Find.
2. Open a course in the same account that is not participating. Mindjoy should not appear in the course navigation, and should not appear in the External Tool list.
3. Launch Mindjoy from the participating course to confirm it still opens.
If your Canvas does not show Availability and Exceptions
Availability and exceptions live on the Canvas Apps page. If your Canvas does not have it, you have two other options.
Install into a narrower sub-account
Move the install down to the lowest sub-account that contains only participating courses.
1. Go to the parent account > Settings > Apps > View App Configurations and delete the Mindjoy app configuration
2. Go to the sub-account you want > Settings > Apps > View App Configurations > + App
3. Set Configuration Type to By Client ID, paste the Client ID from the Mindjoy developer key, and install
4. Copy the new Deployment ID from the app configuration and update it in Mindjoy under Organization > Integrations
Important: reinstalling the app generates a new Deployment ID. Launches will fail until you update it in Mindjoy. The developer key and Client ID stay the same.
Hide the course navigation link by default
This stops Mindjoy appearing in the course navigation menu until someone turns it on. It reduces clutter rather than restricting access: teachers can still find Mindjoy under Settings > Navigation and enable it themselves.
1. Go to Admin > Developer Keys and edit the Mindjoy LTI key
2. If the placements list has a Default option for Course Navigation, set it to Disabled and save
3. If it does not, change Method to Paste JSON, find the entry with "placement": "course_navigation", add "default": "disabled" to it, and save
Troubleshooting
Mindjoy still appears in a course that should not have it
Check for an exception on a sub-account above that course set to Available. Every course inside that sub-account inherits it. Either narrow the exception to the courses you want, or add a course-level exception set to Not available.
Mindjoy is listed more than once on the Manage tab
Some registration methods create a separate entry per placement. This is normal. Apply the same availability and exceptions to each entry, otherwise the placements will behave differently from each other.
A teacher says nothing has changed
Course navigation is cached in the browser. Ask them to reload the course page.
Launches fail after you moved or reinstalled the app
Reinstalling generates a new Deployment ID. Copy it from the app configuration in Canvas and update it in Mindjoy under Organization > Integrations.
