At the end of a school year or when students move on to a new institution, you can graduate their accounts in bulk. Graduating a student deactivates their account in your organisation and releases their organisation lock, allowing them to join a new school.
Accessing the Students page
Navigate to Organisation in the sidebar, then click the Students tab. This page is available to organisation administrators.
Graduating students in bulk
1. Select the students you want to graduate using the checkboxes. You can select individual students or use the header checkbox to select all on the current page.
2. Click the Actions dropdown in the top right.
3. Select Graduate.
4. Review the confirmation dialog. It explains that graduated students will be deactivated and can then join a new organisation.
5. Click Graduate N students to confirm.
Graduating a single student
You can also graduate individual students using the row action menu. Click the more menu (...) on any student row and select Graduate.
What happens when you graduate a student
The student is deactivated and can no longer access your organisation
Their organisation lock is released, allowing them to join a new school (for example, moving from junior school to high school)
Their existing submission data, chat history, and insights are preserved
Viewing and undoing graduations
To see graduated students, toggle Show graduated at the top of the Students page. Graduated students display a "Graduated" status badge.
To undo a graduation, select graduated students and choose Undo graduation from the Actions dropdown, or use the row action menu on an individual student. This reactivates their account and restores their organisation lock.
Graduating vs archiving
Graduate - Deactivates the student AND releases their organisation lock so they can join a new school. Use this at the end of an academic year when students are moving on.
Archive - Deactivates the student but keeps their organisation lock. Use this for students who are no longer active but are not moving to a new institution.
